Who does what on C-O-G-S
C-O-G-S runs the work between the surgery and the invoice for medical device teams: sales orders, sets and trays, cases, commissions, and the couriers who move it all. Here is how the pieces fit, so you can pick the right way in.
Five ways to be on C-O-G-S
Everything lives inside an organization. You either start one, run one on your own, join one, or move trays for them.
A company
A distributor, an agency or a manufacturer. It owns its orders, sets, surgeons, hospitals and people, and nobody outside it sees them.
- One owner sets it up and picks a plan
- Admins invite reps, distributors and office staff
- Each person gets a role that decides what they can see and change
Just you
A rep who works for themselves. It is an organization of one: your own orders, cases, surgeons and commissions, with every tool a company gets.
- Capture charge sheets and email vendors
- Track what you're owed and by whom
- Bring in a partner or an assistant later if you grow
Joining a company
You sell for, or work at, a company that already uses C-O-G-S. That includes a distributor carrying a manufacturer's line, like the agencies on Amplio Spine's KeyLift sets.
- Your company's admin sends you an invite link or code
- You ask to join; they approve and choose your role
- One login can belong to several companies, with a dropdown to switch and each company's mail going to your address there
A courier company
A company whose drivers move trays and implants between warehouses, hospitals and surgery centers for the organizations on C-O-G-S.
- Sign up the fleet, then send drivers your fleet code
- See your drivers, their jobs and what they've earned
- Reviewed by the C-O-G-S team before your drivers can take jobs
On your own or with a fleet
Drivers take delivery jobs that organizations post: picking up a set, getting it to the OR on time, and bringing it back.
- Apply with your licence and insurance
- Bid on jobs near you and sign for custody at both ends
- Get paid out through Stripe after an identity check
Roles inside an organization
An admin gives everyone exactly one role per company. The role decides what that person sees and can change. The database enforces it, not just the screens.
| Role | Who it's for | What they can do |
|---|---|---|
| Owner | Whoever signed the company up | Everything, including the plan, billing and who else gets in. |
| Admin | Founders, office leads | Everything except owning the subscription. Approves people who ask to join and sets their roles. |
| Manager | The office | Orders, inventory, commissions and reports for the whole team. |
| Billing | Whoever chases purchase orders | The money side, plus the patient identifiers on an order, which hospitals need to match a PO. |
| Accounting | Bookkeepers | Commissions, receivables and reporting. |
| Inventory manager | The warehouse desk | Trays, implants, set requests, custody and shipping. Not commissions or receivables. |
| Inventory (hybrid) | A desk that also handles money | The register and the money: approves set requests, assigns and ships trays, calls them back, adjusts a bill or waives a late fee. |
| Rep | Sales reps and distributors | Their own orders, their own cases and the sets they are carrying. |
| Auditor | An outside reviewer | Reads everything they are allowed to and changes nothing. |
Patient identifiers are only ever visible to owners, admins and billing. The C-O-G-S support team can fix anything inside a company when asked, appears in its People list when it does, and can never see a patient identifier.
Plans
Every new company starts on a free 14-day trial of the plan it picks, with no card. Pricing is agreed with you before the trial ends, and you can change plan at any time.
The charge sheet, read and routed
Scan a handwritten charge sheet, redact the patient sticker, check what was read, and email the vendor from your own mailbox, with reporting, people and your own branding.
Everything between the case and the invoice
Essentials plus the surgery board, loaner trays, team chat, and set prediction that learns from what you actually order.
The whole operation, wired in
Field plus the doctor's-office portal, FedEx and UPS on your own accounts, QuickBooks, and sending from Microsoft 365 or Google.

Add-ons, on any plan
Manufacturer sets
You own the trays. Reps request a set, the office assigns a specific one, and custody is signed for at every handoff.
Distributor set requests
Reps request sets straight from any manufacturer; what arrives lands in your inventory under the rep holding it.
Hospital agreements
Price files, agreements sent to hospitals for e-signature, and approved products by facility.
Biologics inventory
Serialized tissue and biologics: stock, expiry, receiving and release, consignment at hospitals, returns and audits.
Courier network
Post a delivery, take offers from vetted local drivers, and sign for custody at both ends.
Clinical records
Construct records, operative reports and outcome studies, built from the order.
How a delivery works
For organizations with the courier network on, and for the fleets and drivers who carry for them.
- The office posts a job. Pickup, drop-off, which sets, and when the case starts.
- Approved drivers nearby bid. Each offer shows a price and an arrival time.
- The office accepts one. Every other offer is withdrawn at that moment.
- Custody is signed at pickup and drop-off. Names, time, place and photos, so everyone knows who had the tray when.
- The driver is paid. The organization is charged and the driver's share is paid out through Stripe. Tips go to the driver in full.
Before taking jobs, every driver is approved by the C-O-G-S team, with licence and insurance on file and an identity check through Stripe. Fleets see all of their drivers' jobs and earnings in one place.
